Privacy policy

Grinning Buffalo Media (“we”) runs grinningbuffalomedia.com. We are based in Yukon, Oklahoma. This page says what we collect, why we use it, and who else sees it. Questions go to hello@grinningbuffalomedia.com.
What we collect
We collect only what you send us, plus a small amount of technical data needed to run the site and the chat.
- Brand brief. Business name, your name, email, phone, city, website, social accounts, what the business does, who it sells to, goals, timeline, budget, competitors, and notes. A draft is saved in your browser so you do not lose it. We receive it when you send the brief from the last page. FormSubmit delivers that email to us. Their policy is at formsubmit.co/privacy.pdf.
- HVAC video brief. Shop name, owner name and mobile, office contact, service area, phone, website, social accounts, services, ticket sizes, offers, brand rules, a competitor, and notes about footage.
- Email and files. Anything you send to hello@grinningbuffalomedia.com, including logos, job photos, phone clips, and other project files.
- Live chat. The chat box is run by Tawk.to. If you use it, Tawk receives the messages and any name or email you type, plus technical data such as your IP address and browser. Tawk’s policy is at tawk.to/privacy-policy.
- Payments. Card payments are processed by Stripe. Stripe collects your payment details. We receive your name, email, the amount, and a payment record. We do not store your full card number. Stripe’s policy is at stripe.com/privacy.
- Site logs. The site is hosted on Vercel. The host keeps ordinary server logs, such as IP address, browser, and the page requested, so the site can run and so we can fix problems. We do not run advertising cookies or a separate analytics product.
How we use it
- To answer you, quote the work, and do the job you hired us for.
- To make graphics, mascots, jingles, and videos from the files you send.
- To take payment, send a receipt, and keep ordinary business and tax records.
- To keep the site and the chat working, and to spot abuse.
We do not sell your information. We do not share it for other companies’ ads.
Who else sees it
We share information only with the services that do a job for us, and only as needed:
- Stripe, to process card payments.
- Tawk.to, to run the live chat.
- Zoho, to host hello@grinningbuffalomedia.com.
- FormSubmit, to deliver the brand brief to that inbox.
- Vercel, to host this website.
- A social platform, only if you ask us to post there and you give us access.
We may also disclose information if the law requires it, or to protect the business from fraud.
Photos and job files
You keep the rights you already have in the photos and clips you send. We use them only for the work you hired us for. Do not send faces, street addresses, or paperwork unless you have permission to use them. We do not publish that material unless you told us we can.
How long we keep it
Emails, briefs, invoices, and project files stay as long as we need them to finish the job and to meet tax and accounting duties. After that we delete them. A form draft saved in your browser stays on your device until you clear the site data for this website.
Your choices
Email hello@grinningbuffalomedia.com to ask what we have about you, to correct it, or to ask us to delete project files we no longer need for a tax record or an unpaid invoice. You can ignore the chat, and you can clear cookies and saved site data in your browser. You do not have to fill out a brief to look at the site.
Children
This site is for business owners. We do not knowingly collect information from children under 13.
Changes
If this policy changes, the new version will be on this page with a new date.
